What is the Enquiry/Holding Area?

This facility accepts all incoming enquiries from some of the below example websites:

  • realestate.com.au
  • domain.com.au
  • trademe.co.nz
  • reiwa.com.au (WA)
  • trademe.co.nz and realestate.co.nz (NZ) 
  • your office website
  • QR code open inspection check-ins

Please note: You will still receive the enquiry email from the portal.

Step by step

1. Go into Contacts > Enquiry/Holding Area

2. (OPTIONAL) We have the ability to expand and select our filter criteria as per below:

  • Show: - Automatically will tick to show all Pending/Unprocessed Enquiries (Untick this option to view all enquiries based on a selected date range and/or specific marketing contact)

  • Show Deleted: - If you have ignored or processed an enquiry, you can view these enquiries by ticking this option. This includes the option to restore these enquiries on the right-hand side

  • Branch: - If using branches, here we can select a specific branch to refine your enquiries
  • Include: Sales Department and/or Leasing Department - Here we have the option to filter by enquiries for either sales, lease or both types of properties
  • Filter By Source: - Allows you to filter enquiries by where they have come from

3. (OPTIONAL) Once you have selected your criteria click Refresh 

4. This will then populate all enquiries that you have received and provide the below two options:

  • Tick to Ignore > Bulk Ignore (selected enquiries) - This will allow you to ignore the enquiry and skip the ability to add the enquiry/contact into your database
  • View/Add - Here you can view the enquiry and contact details prior to adding the enquiry/contact into your database

5. If you choose to View/Add, the system will allow you to review the enquiry/contact details prior to adding. We also provide the option to make any changes to the contact such as their name, contact details, categories, marketing contact, access settings and the ability to add a requirement (Based on the property they have enquired on)

6. Once you have reviewed the enquiry and contact details, you can then proceed by clicking on Add Enquiry

7. This will then prompt success and allow you to continue adding in your remaining enquiries or go directly to the contact card of the enquiry you had added

Please note: The system will automatically check for any existing contacts during the above process. These potential duplicates will populate as per below and allow you to either Ignore Duplicates... Add New Person or select the duplicate contact to add the enquiry against the existing contact.

Additional information

We provide the option to deactivate the Enquiry/Holding area for both sales and/or rental enquiries. This can be done by going to Settings > Setup Automation > Office Automation.

Here you can select the Sales or Lease tab and then tick the below in order to disable the Enquiry/Holding area. As advised, we do not recommend activating this feature to ensure that you are able to check for duplicate and fake enquiries prior to adding them as a contact in your database.

You do have the option to see your enquiries/holding area via a widget. This can be added by clicking on Configure from the dashboard and then ticking the Enquiries / Holding Area widget.

When adding in an enquiry, we provide the option to add a Buy/Rent Requirement against the contact. If the below is ticked, this will automatically apply a Buy/Rent Requirement based on the property that the person had enquired on.

Once the Enquiry is added and the contact is created (If new), the system will automatically add a note against the contact card with the enquiry details such as the date, where the enquiry was from and the enquiry itself.

This enquiry will also populate in the Owner Feedback for the property, under the appropriate enquiry section.
