Filter Properties

The Filter Properties tool allows you to filter/extract properties from your database via your desired search criteria.

Step by step

1. Go into Properties > Filter Properties

2. Select the property criteria, based on the desired output

3. Once you have selected your criteria, click Search 

4. You then have the option to perform bulk actions or report against these properties from the actions above

5. Otherwise, you can use the Open button to view the property card in further detail

We provide the option to save the selected criteria as a filter to be used in future. This can be done by clicking on Save Filter.

You are then able to add the name of the filter and set who has access to use and edit the filter (Everyone, a team or specific user(s). 

As an admin user, you can edit/delete all filters in the office. As a non-admin user, you can only edit/delete any filter you can access except for filters where “Everyone” is applied.

You then have the option to select the filter from the dropdown below or delete an existing filter using the spanner symbol

Criteria options

Property Class - Search for a property via the attached class (Residential, Commercial etc), For Sale or Lease and current status.

Method of Sale - Filter via the type of sale (Private Treaty, Auction, Tender or Set Sale Date).

Authority - Filter via the type of authority (Exclusive, Multilist, Open, Conjunctional or Sole Agency).

Agent - This is to filter via the staff member that is assigned as Agent #1, Agent #2 or Property Manager against the property.

Open Homes - Refine your search via properties with open homes scheduled in the next 7 or 14 days.

Exclude Properties with Owner Attached: - Here we can refine our search to properties without an owner attached.

Building/Site: - Filter via a specific building/site name applied to a property.

Property Attributes - This can be used to refine your search for properties in your database, based on their price, street number/name and suburb.

Dates/Sale Details - This can be used to refine your search for properties in your database, based on the below-applied property dates.

Property & Photo Tags - Should tags be applied to the property, here you can refine your search via these tags.

If searching via Property Tag(s), you must have these tags added to the property card. More information can be found in the Property - Listing: Photos & Tags knowledge article. 

Precinct - Search via a defined precinct. More information on creating precincts can be found in the Precincts knowledge article.

Property Categories - Search via a list of properties that are within certain property categories (projects).

Style & Override Agent - If generating a Stock List (Public) or Open Home List, here you can select to include a map or override the listing agent to replace it with the defined agent.

Order By - Here you can define the order of the Stock and Open Home List via suburb, price or open home

Bulk actions and reporting options

Export CSV - Tick/untick the properties you wish to export to an excel spreadsheet, you then click on the Export CSV tab. This will also export the data based on the columns selected.

PDF Flyers - This tab allows you to create and download a printable stock list based on a Designly template. More information on creating a PDF flyer template can be found via the Guide to Designly knowledge article.

Send with Designly This tab allows you to populate your property list into a Designly (Match Listings) template to send to three specific contacts or contact categories/distribution lists.

Stock List (Public) - Here you can produce a generic stock list to provide to the general public.

Stock List (Internal) - Here you can produce a stock list for internal purposes. This stock list will contain further details such as the listing expiry, Vendor/Owner, Land, Build and Zoning details.

Open Home List - Here you can produce an Open Home List for properties with an open home currently assigned.

Owner Summary Report - Here you can produce a report based on the owners attached to the properties, including their contact numbers.

Map - This will populate a map view of all the properties within the search.

Property Distribution List - Here you can shortlist a selection of properties for use in the Email Builder. We provide the option to create a new distribution list or append an existing one.

Contact Distribution List - Here you can group all owners or purchasers attached to the properties within the search for marketing or reporting purposes. We provide the option to create a new distribution list or append an existing one.

Assign To Category - This tab allows you to bulk assign the properties you have selected into a specific property category.

Update Property Access - Here you can select the staff member and perform bulk actions to Add To View/Read Access, Add To Edit Access, Remove From View/Read Access or Remove From Edit Access attached to the properties selected.

Update Enquiry Staff - Here you can select the staff member and perform bulk actions to Update Contact/Enquiry Staff #1 or Update Contact/Enquiry Staff #2 attached to the properties selected.
