Step by step

1. Go into eMarketing > Email Communicator

2. Select your desired template type (Either an Email, Designly template or EDM Via a URL link)

3. Once you have selected your desired message type, select your recipients by using a relationship (Current Owners/Vendors, Landlords, Tenants or Purchasers), desired contact categories or a contact distribution list

4. Depending on what message type you have selected, the below options will be available:

Email sending options

  • Filter(s): - Filter your recipients via the marketing contact attached
  • Precinct: - Filter your recipients via a specific precinct that has been created. More information on this function can be found via the Precincts knowledge article
  • From: - Select the sender of the Email, if the recipient responds back to the email, this will go to the selected sender's defined email address
  • Timing: - The system will automatically tick to Send Now, however, you do have the option to untick to schedule it on a different date/time
  • Template:Select an existing email template to populate. More information on creating email templates can be found via the eMarketing (Set Up Email Responses) knowledge article
  • Subject: - Add your desired subject of the email
  • eMarketing Storage: - Add a link to an attachment from your eMarketing Storage or a property eTable link. More information on these functions can be found in the below knowledge articles:
  • Message: - If not selecting a template, you can create your own message or edit your selected template prior to sending

Designly sending options

  • Filter(s): - Filter your recipients via the marketing contact attached
  • Precinct: - Filter your recipients via a specific precinct that has been created. More information on this function can be found via the Precincts knowledge article
  • From: - Select the sender of the Email, if the recipient responds back to the email, this will go to the selected sender's defined email address
  • Timing: - The system will automatically tick to Send Now, however, you do have the option to untick to schedule it on a different date/time
  • Subject: - Add your desired subject of the email
  • Template:Select an existing Designly template to populate (Market Report/eCards only). More information on creating a Designly template can be found via the Guide to Designly knowledge article

EDM Via URL sending options

  • Filter(s): - Filter your recipients via the marketing contact attached
  • Precinct: - Filter your recipients via a specific precinct that has been created. More information on this function can be found via the Precincts knowledge article
  • From: - Select the sender of the Email, if the recipient responds back to the email, this will go to the selected sender's defined email address
  • Timing: - The system will automatically tick to Send Now, however, you do have the option to untick to schedule it on a different date/time
  • Subject: - Add your desired subject of the email
  • eNewsletter URL: - This will be a URL pointing towards a created HTML newsletter 

5. Once you have completed your email, you are then able to click on Next (Preview). This will then provide an email preview to review prior to sending

 


Additional information

Once an email has been sent, the email will automatically be recorded against each contact's notes, with the option to view the contents of the message.

You have the option to track the activity of a bulk email sent via eMarketing > Track Marketing Campaign. More information on this function can be found in the Track Marketing Campaign knowledge article.

Email activity can also be tracked on an individual contact by clicking on the Other tab > Campaigns - More information on this function can be found in the Contact Record: Campaigns knowledge article.

We also provide the option to view pending emails via eMarketing > email Communicator > View Scheduled/Pending tab. Here you can also use the Remove button to stop the pending email from being sent if required.
