When creating a conjunction in Vault, we have two different methods of initiating.

1. Initiating the contract from the listing office, which then makes it available for the selling office to pull the deal through

2. The reverse - Initiating as the selling office by pulling in an available listing from another office to create the conjunction

Below is a step-by-step guide on the above two processes.

We provide two options to create a conjunction in Vault, the first option is Conjunctional (External), which allows you to free text type the office name and is used to add in a conjunctional outside of the Harcourts network. The second option is Conjunctional (VaultRE Office), which is creating the conjunction with another Harcourts office as shown in the below scenarios.

Scenario 1: Initiating the conjunction as the listing office - STEP 1


Step by step

1. Navigate into an example Listing

2. Click on Under Offer/Conditional

3. This will populate the sales details screen, where you are able to add in the relevant contract information, including adding in the conjunction via the Pre-distribution deductions (+) as per below

4. Once the Add Deduction/Fee screen appears, we can then select to add in a Conjunctional (VaultRE Office) and populate the below fields:

  • Franchise Office: - Search and select an existing Vault Harcourts office
  • Type: - Select the type (Fixed Fee or Percentage)
  • Amount: or Percentage: - Add in the desired conjunctional fee

5. Click Add once the above has been completed. This will then populate the conjunction as per the below example

If required, you can remove the conjunction by clicking on the minus (-) symbol.

6. You are then able to continue to add in any office referrals, office deductions, set the splits and set the property as Conditional/Under Offer. More information on the conditional/under offer process can be found via the Property - Listing to Conditional (Under Offer) process knowledge article

Scenario 1: Accepting/pulling the conditional/under offer property into the selling office - STEP 2

1. Once the above steps have been completed by the listing office, the selling office will now be able to pull in the property. This can be done via the below two ways: 

  • Using the Conjunctions widget, you can see all conjunctions, including the option to click into the property to add in the conjunctional sale

  • We can also view all conjunctions via the contracts dashboard (Properties > Contracts Dashboard), including the option to click on Accept to add in the conjunctional sale

2. When you have clicked on the property via the widget or clicked on accept within the dashboard, this will then navigate you to the Add Conjunctional Sale Screen

3. Once here, you are able to select the Person (Agent responsible for the sale) and review the conjunctional sale details prior to clicking on Create Conjunctional

4. When the conjunctional sale has been created, the system will pull in the property including all details attached from the conjunctional office. We can then navigate directly to the property by clicking on Go To Property (Complete Sale Details)

5. Once in the property, we are then able to modify the sale details in order to add any office referrals, office deductions and set the splits

If any details of the sale are updated by either party or a conjunction has been processed, the system will flag this within the conjunctions widget and also via the contracts dashboard. Within the contracts dashboard, this is clearly visible via a red flag symbol and all logs of the changes can be viewed via the (i) Symbol as per below.

Scenario 2: Initiating the conjunction as the selling office - STEP 1

Step by step

1. You will first need to pull in the property from the listing office. This can be done by going to Properties > Add Conjunction Sale

2. Once here, you are able to select the Person (Agent responsible for the sale) and search/select the desired Harcourts office you are conjuncting with

3. When the listing office has been selected, you are then able to search and select the listing for the conjunction

Only Public Listings appear in the above search. If the property is conditional the listing office has already processed the sale and you should check the Contracts Dashboard to see if you have a sale to process.

4. Once you have selected the listing, click on Create Conjunctional. When the conjunctional sale has been created, the system will pull in the property including all details attached from the conjunctional office. You are then able to navigate directly to the property by clicking on Go To Property (Complete Sale Details) 

5. We can then begin to process the sale by clicking on Under Offer/Conditional to enter in the sales details, including adding in the conjunction via the Pre-distribution deductions, as shown in the example below

6. Once completed, click on set as Conditional/Under Offer to push the sale data to the selected conjunctional office

Scenario 2: Pulling the conditional/under offer details into the selling office - STEP 2

1. Once the above steps have been completed by the selling office, the listing office will now be able to pull in the sales details. This can be done via the Conjunctions widget or the Contracts Dashboard. The dashboard will populate all conjunction details as per below.

The above will also be flagged within the contracts dashboard (Properties > Contracts Dashboard). Within the contacts dashboard, this update is clearly visible via a red flag symbol and will provide the option to apply the sale to the existing listing.

2. When you have clicked on the property via the widget or Apply Sale via the contracts dashboard, this will then navigate you to the Add Conjunctional Sale Screen

3. Once here, you are able to review the conjunctional sale details provided by the sale office and click on Create Conjunctional. Once created, you are then able to navigate directly into the existing listing by clicking Go To Property (Review Sale Details)

4. This will then update the existing listing to Under Offer/Conditional and populate the details provided from the selling office within the sales details

5. You are then able to continue to add in any office referrals, office deductions and set the splits. More information on the conditional/under offer process can be found via the Property - Listing to Conditional (Under Offer) process knowledge article
